Your printer says "Offline" even though it's powered on and connected. This is one of the most common printer problems — and it's almost always fixable in a few minutes without calling tech support. Work through these five steps in order and you'll be printing again before you finish your coffee.
Check the physical connections
Before anything else, rule out the obvious. Make sure the printer is powered on (the power light should be solid, not blinking), and check that the USB or Ethernet cable is fully seated at both ends — or if using Wi-Fi, that the printer is connected to the same network as your computer.
For Wi-Fi printers: print a network configuration page directly from the printer (usually held in the Settings or Reports menu). This will show you whether the printer has an IP address assigned. If it shows 169.x.x.x or 0.0.0.0, the printer isn't connected to your network — reconnect it via the Wi-Fi setup menu.
Quick fix that often works: Turn the printer off completely, wait 30 seconds, and turn it back on. Also restart your router if it hasn't been restarted recently.
Set as default printer and disable "Use Printer Offline"
On Windows 11 / 10:
Settings → Bluetooth & devices → Printers & scanners → click your printer → Open print queue → Printer menu → uncheck "Use Printer Offline"
Also in Printers & scanners, click your printer and select Set as default. If "Let Windows manage my default printer" is on, turn it off and manually set your printer as default.
On macOS:
System Settings → Printers & Scanners → right-click your printer → Set as Default Printer
Clear the print queue
A stuck or corrupt print job can cause your printer to appear offline indefinitely. Clearing the queue often resolves the issue immediately.
On Windows:

On macOS:
cancel -a
Or go to System Settings → Printers & Scanners → your printer → Open Print Queue, then select all jobs and delete them.
Restart the Print Spooler (Windows) or CUPS (Mac)
The Print Spooler is the Windows service that manages print jobs. Restarting it clears temporary errors that cause the "offline" state.
net stop spooler && net start spooler
Or via Services: press Win + R, type services.msc, find Print Spooler, right-click → Restart.
On macOS, CUPS (Common Unix Printing System) handles printing. To restart it:
sudo launchctl stop org.cups.cupsd && sudo launchctl start org.cups.cupsd
You'll be prompted for your administrator password.
Reinstall the printer driver
Corrupt or outdated drivers are a common cause of persistent offline errors — especially after Windows updates. Reinstalling gives you a clean start.
On Windows: Go to Settings → Printers & scanners, click your printer, select Remove. Then go to the manufacturer's website (Brother, HP, Epson, Canon) and download the latest driver for your exact model and Windows version. Run the installer.
On macOS: Go to System Settings → Printers & Scanners, click the – button to remove the printer. Then re-add it by clicking +. macOS will often find the correct driver automatically, or prompt you to download it.
